Customer Courtesy Vehicles: Terms and Conditions

Listed below are the general conditions for use of our courtesy vehicle service. Further terms and conditions are included in the paperwork to be checked and signed by the customers’ driver at the point of collection of the hire vehicle. This document can be downloaded [here].

  • Your staff are not insured to drive our courtesy vehicles under our company insurance policy. The courtesy vehicle must be insured under your company’s policy. It is your responsibility to ensure that you have the relevant insurance cover in place whilst the vehicle is in the care of your staff. A copy of your insurance document will be required prior to loan, to be held on file by us (updated copies will be requested annually when certificates expire). If you fail to provide a current insurance document with the correct level of cover, you will not qualify for a courtesy vehicle.
  • If the cover note / certificate provided does not prove adequate cover is in place, then we may request a copy of the policy wording to ensure our vehicle is covered under your policy.
  • All drivers must have a valid full UK driving licence. We may request this before handing over a courtesy vehicle.
  • Damage, loss or theft of the vehicle is the responsibility of your company and/or the driver of the vehicle at the time of lease.
  • Any costs incurred against the vehicle will be the full responsibility of your company and/or the driver of the vehicle during the term of the loan. This includes but is not limited to parking charge notices, LEZ/ULEZ/Congestion charges, toll crossing charges and speeding penalties. These costs will be re-charged to yourselves. If you appeal a charge with the charging company and are successful then we will credit you accordingly once we have received a refund.
  • It is the responsibility of the driver to ensure that the vehicle is compliant before entering any restriction zones such as LEZ/ULEZ/Congestion. Not all of our vehicles are compliant and as above, you will be fully responsible for any costs incurred.
  • Courtesy vehicles on loan to your company are strictly for travel between Channel Commercials and your depot. Travel to/from a driver’s home may not be covered under your insurance.
  • If the courtesy vehicle is electric, the driver must ensure that their return journey from Channel Commercials to your depot and back is within range. The range on a full charge is approximately 130 miles in summer, and 90 in the winter. Should the vehicle run out of charge during your use, then it is the driver’s responsibility to have it recovered back to the Channel Commercials depot that it was collected from.
  • Smoking or vaping in our vehicles is strictly prohibited at all times.
  • Courtesy vehicles are issued for scheduled inspections only and may not be issued for defect or MOT bookings.
  • Courtesy vehicles are chargeable at a rate of: £25.00 per hire up to a maximum of 24 hours (Monday – Thursday), or 72 hours (Friday - Sunday).
  • The allowed mileage per hire will be: 50 miles. Additional mileage will be charged at a rate of: £0.50 per mile.
  • In the event that your vehicle is kept in for defects following inspection and as a result is with us for more than 24 hours, this does not automatically qualify you to keep the courtesy vehicle until repairs are complete.Courtesy vehicles are the absolute property of Channel Commercials and must be returned upon request.
