Job: Workshop Administrator

Contract: Permanent

Based: Ashford

Hours: 8.00am – 5.00pm Monday to Friday

Salary: Dependent on skills and experience

We have an exciting opportunity for a Workshop Administrator based at our Ashford depot. Reporting to the Assistant Service Manager, the successful candidate will be responsible for a range of administrative tasks in providing cover and assistance to the existing Service Admin Team.

Key responsibilities include assisting with: -

  • Invoicing, and posting to WIPs
  • Processing sublet invoices
  • Answering telephone queries
  • Obtaining order numbers
  • Input Technician times to WIPs from clock cards
  • General service administration tasks and filing
  • Input of service workshop warranty repairs
  • Input of parts warranty claims for failed parts sold to customers.
  • Day to day running of the MOT lane, including meeting and greeting MOT customers, liaising with DVSA/MOT Testers and verification of DVSA Statements

Essential Qualities include:-

  • Good IT Skills including Word and Excel
  • Experience of working in an administration role
  • Experience of dealing with customers on the telephone and face to face
  • Good interpersonal and communication skills (written/face to face/telephone/email)
  • Ability to liaise with all levels of staff and directors
  • Ability to promote and maintain strong customer relationships
  • Ability to deal with difficult customers
  • Ability to deal with customers in difficult situations
  • Self-disciplined and ability to work well under pressure and without supervision
  • Ability to use own initiative
  • Team Player
  • Literacy and numeracy skills
  • Problem solving skills
  • Organisational, planning, scheduling and follow up skills
  • Accuracy and attention to detail
  • Confident and professional manner

Desirable Qualities include:-

  • Maths and English GCSE (or equivalent)
  • Knowledge of Kerridge system
  • Understanding of vehicles and/or experience in Automotive industry
  • Knowledge of how to process an invoice
